Position Overview

The Operations Manager at Gray Space Strategies (GSS) plays a crucial role in supporting GSS and its clients by ensuring the smooth functioning of key workflows and operational tasks related to vendor management, events, database management, and client communications.  As a high end, boutique government relations and strategic advisory firm, the operations manager will regularly interact with some of the world’s top experts and leading organizations across government, private sector, academia, and the NGO community.  The candidate will apply their skills and expertise to support various GSS initiatives as well as client deliverables and projects, acting as a representative for both us and our clients.  

GSS has an immediate opening for an operations manager who will support GSS and one of our clients – a non-profit think tank – by delivering the capabilities outlined below:

  • Provide operational support to senior GSS leadership as needed to meet the operational needs of the business
  • Support GSS client engagements as needed by delivering services related to business operations and event management and logistics
  • Serve as a representative for GSS and clients as needed to a diverse group of stakeholders including sponsors, donors, volunteers, speakers, and experts.
  • Collaborate with marketing, sales/fundraising, content, and research teams to support the operational needs of other departments
  • Professionally engage with clients, donors and members to foster engagement and cultivate strong relationships in support for the organization’s mission including coordinating donor/member communications, maintaining accurate records and lists, and organizing participation in various ICIT activities.
  • Managing calendar of events, including conferences, workshops, webinars
  • Oversee all aspects of event operations including audience acquisition, venue management, F&B, A/V, speaker acquisition, registration and website management, and on-site execution
  • Maintain and enhance organizational databases and CRM systems, ensuring data integrity, accuracy, and completeness including data hygiene and audience segmentation
  • Build and deliver various communications using marketing tools and CRM systems
  • Manage vendors and service providers to support operational needs and ensure vendor performance meets established standards and deliverables.

Qualifications

  • Bachelor's degree in business administration, communications, or a related field.
  • Proven experience in operations management, event planning, or related roles
  • Strong project management skills, with the ability to prioritize and manage multiple tasks simultaneously.
  • Excellent communication and interpersonal skills, with the ability to collaborate effectively with internal teams, external partners, and stakeholders.
  • Proficiency in database management systems and event management platforms.
  • Attention to detail and a commitment to delivering high-quality results under tight deadlines.
  • Knowledge of the nonprofit sector and experience working with donors and members preferred.

The salary range for this role is $60,000 - $75,000/year
